It is the 25th of the month and the sales head is calling each salesperson to ask, "What will close this month?" The answers are hopeful, the Excel sheet does not match, and the owner has no way to check. If this sounds familiar, the issue is not effort. Your pipeline lives in people's heads. A sales CRM moves it onto one screen that everyone can see.
Setting up a sales CRM around your actual stages
Generic stages like "Prospect" and "Negotiation" mean different things to different people. For an Indian B2B company, say a manufacturer selling to dealers and project buyers, we define each stage with a clear exit rule:
| Stage | Moves forward when |
|---|---|
| New lead | A lead from IndiaMART, JustDial, the website or a referral is called and qualified |
| Requirement noted | Product, quantity, delivery location and buying timeline are recorded |
| Quotation sent | A quote with GST and freight terms goes out from the CRM |
| Negotiation | Price or payment terms are revised, with each version saved |
| PO received | The purchase order is uploaded and the order passes to accounts in Tally |
The exit rule is what keeps the forecast honest. A deal cannot sit in "Negotiation" without a revised quote attached.
Who does what in a typical team
Inside sales executives handle portal leads, which need a call within minutes because the same buyer has messaged five suppliers. Field executives use the mobile app to check in at client sites and log the visit before leaving the car park. The sales head reviews stuck deals every morning. The owner looks at the weekly forecast and little else, which is fine. Accounts only needs to see won deals and payment terms, so they get a narrow view of their own.
What goes wrong without one
- Portal leads are paid for but many are never called back, so the IndiaMART package gets blamed for not working.
- A salesperson resigns and the client list leaves on their phone.
- Quotes go out with an old price list or the wrong tax rate, and accounts finds out after the PO arrives.
- Follow-ups depend on who remembers, so slow buyers who would have ordered next quarter are dropped.
Reports and demo preparation
Owners usually check three reports: leads by source with conversion, deals stuck in one stage for more than 15 days, and achievement against target per person. That is the B2B CRM core. Everything else is optional.
Before your demo, export your current leads, list your products with prices and tax rates, and write your stages down in your own words. If you have three salespeople and one product, a shared sheet may still serve you well. Beyond that, see our lead management service, the mobile CRM app for field staff, or book a free demo.
