01Who we are
dial4crm is the CRM division of WebKeyIndia, a software company based in New Delhi, India. This policy covers our website dial4crm.com, our demos, and the CRM design, development, hosting and support services we provide. In this policy, “we”, “us” and “our” mean WebKeyIndia.
We follow the Digital Personal Data Protection Act, 2023 (DPDP Act), the Information Technology Act, 2000 and the rules made under them.
02Information we collect
We collect personal data in three ways:
| Type | Examples | How we get it |
|---|---|---|
| Contact details | Name, phone, email, company, city | Forms, calls, WhatsApp, email |
| Business details | Industry, team size, current tools, requirements | Forms and discovery calls |
| Usage data | Pages visited, device, browser, approximate location | Automatically, when you browse |
| Billing details | GSTIN, billing address, payment reference | When you become a client |
We do not collect card numbers. Online payments are handled by the payment gateway, not by us.
03How we use your information
We use your data only for clear, specific purposes:
- To reply to your enquiry and arrange a demo or call.
- To prepare proposals and quotes, and to deliver, host and support your CRM.
- To send invoices, service updates and important notices.
- To improve our website, demos and services.
- To send occasional offers or updates, only if you have agreed. You can opt out any time.
- To meet legal, tax and accounting obligations.
04Consent and legal basis
We process your personal data with your consent, which you give when you submit a form, contact us, or sign a proposal. We also process data where it is needed to perform a contract with you or to comply with law.
You can withdraw your consent at any time by writing to us. Withdrawing consent does not affect processing already done, but we may not be able to continue a service that depends on it.
05Data inside your CRM
When we build or host a CRM for you, the records you store in it (your leads, customers, staff and their details) belong to you. For that data, you are the Data Fiduciary and we act only as your Data Processor.
- We access your CRM data only to build, support or fix it, or when you ask us to.
- We never use your CRM data for our own marketing.
- You can export your data at any time, and we hand it over in a standard format if you leave.
You are responsible for having the right consent from your own customers before storing their data in the CRM.
06Who we share data with
We never sell personal data. We share it only with:
- Service providers who help us run our business, such as cloud hosting, email, SMS and WhatsApp providers, under confidentiality terms.
- Payment gateways to process payments you make.
- Authorities when required by law, court order or to protect rights and safety.
- A buyer or successor if our business is merged or sold, under the same protections.
07Cookies
Our website uses a small number of cookies and similar technologies to work properly and to understand how it is used. Read our Cookie Policy for details and choices.
08How long we keep data
| Data | Kept for |
|---|---|
| Enquiries that do not become clients | Up to 24 months, then deleted |
| Client contracts, invoices and tax records | 8 years, as required by Indian tax law |
| CRM data we host for you | For the contract, then returned or deleted within 30 days of exit |
| Backups | Rolling 30 days |
09How we protect data
- SSL encryption on our website and on every CRM we host.
- Role-based access, so each user sees only what they need.
- Daily backups and secure, access-controlled servers.
- Staff confidentiality agreements and need-to-know access.
No system is 100% secure. If a breach affects your personal data, we will inform you and the authorities as required by law.
10Your rights
Under the DPDP Act, you can:
- Ask what personal data we hold about you and how we use it.
- Ask us to correct, complete or update your data.
- Ask us to erase your data when it is no longer needed.
- Withdraw consent and opt out of marketing.
- Nominate another person to exercise your rights in case of death or incapacity.
- Raise a grievance with us, and then with the Data Protection Board of India.
To use any of these rights, write to info@webkeyindia.com. We reply within 30 days.
11Children
Our services are for businesses. We do not knowingly collect personal data from anyone under 18. If you believe a child has shared data with us, contact us and we will delete it.
12Data stored outside India
We prefer servers in India. Some service providers (for example email or cloud tools) may store data in other countries. When this happens, we use providers with strong security and contractual safeguards, and we follow any restrictions notified by the Government of India.
13Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows the latest version. If a change is significant, we will tell clients by email.
