For most private schools and coaching institutes, the year is decided between January and July. That is when enquiries arrive from Google Ads, Instagram, seminars, walk-ins and parents who saw a banner outside their society gate. Counsellors are on the phone all day, the front desk fills forms by hand, and the director wants to know why last session looked better. An education CRM earns its cost in exactly these months.
A typical admission day, before and after an education CRM
Without a system, the morning starts with a counsellor scrolling WhatsApp chats and a register to remember who promised to visit. A parent who called on Friday about Class 6 gets two calls from two counsellors, or none at all.
With the CRM in place, the counsellor opens a list of today's follow-ups sorted by stage: new enquiry, counselling done, campus visit booked, form filled, documents pending, fee paid. Each lead shows the class or course, the source and the last conversation. Front desk staff register walk-ins on a tablet, so a parent who filled a web form and then walked in is not counted twice.
Three gaps we see in almost every institute
- Late-night enquiries. Parents and students research after office hours. If the first reply comes on Monday, the institute across the road has already booked a demo class. An automatic WhatsApp reply with the brochure, set up through marketing automation, buys you time until a counsellor calls.
- Counsellor turnover. Counselling staff change often, and when someone leaves, their leads leave with their phone. In a CRM, leads belong to the institute.
- Fee dues after admission. Instalments for coaching batches are chased on paper. Accounts and counsellors do not see the same data, so reminders are either late or awkward.
What directors actually look at
Keep the report list short. The ones that get opened every week are:
- Enquiries by source, against admissions by source, for the current session
- Counsellor-wise calls, campus visits and conversions
- Seats filled per course or batch, against capacity
- Fee instalments due this week, and those already overdue
Study abroad consultants need one more: students waiting on IELTS scores, offer letters or visa appointments, because that is where files quietly stall.
What to prepare before you see a demo
Bring last session's enquiry sheet, however untidy, plus your course list with fee structure and instalment plans. Note how many branches you run and whether each branch head should see the others. Decide who will message parents on WhatsApp, since approved message templates take a few days to set up.
One honest note. If you run a single-branch tuition centre with one counsellor, a well-kept spreadsheet may still be enough this year, and we will tell you that. Once you add a second branch or a paid ads budget, an admission CRM starts paying for itself. See our CRM demos or book a free demo with your own course list.
