Renewals pay the bills in an insurance agency. A new motor or health policy takes effort to sell, but the renewal of a happy customer should be close to automatic. In practice, renewals get missed because policy dates sit in insurer portals, PDFs on email and a tele-caller's notebook. A well set up insurance CRM puts every policy, due date and conversation in one record per customer, so the renewal call happens on time, every time.
How an agency month really runs
New business comes from references, walk-ins at the office, and leads from Facebook or Google ads. The agent or POSP collects details, shares quotes from two or three insurers, and closes the policy. The policy PDF and KYC documents are then attached to the customer, along with family members, vehicles and existing covers.
Renewal work runs in parallel. The back office pulls the list of policies due next month and calls customers in order. Motor customers want the NCB protected and a better premium; health customers ask about adding parents or raising the sum insured. Each call outcome is logged, and lost renewals get a reason.
Claims are the third stream. The customer calls in a panic after an accident or hospital admission, and your team is the link with the insurer or TPA until settlement.
A renewal schedule that works for most agencies
| When | Action | Channel |
|---|---|---|
| 30 days before due date | Renewal notice with current premium | WhatsApp and SMS |
| 15 days before | Call with fresh quotes | Phone |
| 3 days before | Payment link and reminder | |
| After expiry | Escalation to the agent, reason if lost | Phone |
We adjust these dates to your products. Health and life policies with grace periods need a different rhythm from motor.
What breaks without an insurance CRM
The same three gaps show up in most agencies we set up:
- Customers leave with the agent. When an agent or POSP quits, their policy list and contacts often go with them. If every policy sits under the agency in the CRM, the renewal stays with you.
- Commission is never matched. Insurers pay in batches, sometimes short, and nobody checks the payout against the policies sold. Small gaps add up over a year.
- Claims run on memory. Follow-ups with the surveyor, garage or TPA depend on one person remembering to call, and a claim is exactly when a customer decides whether to stay with you.
Reports and demo preparation
Owners usually check renewals due versus renewed this month, premium by agent and line of business, pending claims by age, and commission received against expected. Before a demo, export your current policy list from Excel or your insurer portals, note the insurers you deal with, and decide which agents and POSPs should see only their own customers.
Standard Excel imports are part of our data migration work. Agencies that also arrange loans often run a finance CRM alongside on the same login. To see it with your own policy list, book a free demo.
