Ask a distributor what keeps them up at night and the answer is rarely sales. It is collection. Retailers order on credit, salesmen promise extra days to close a deal, and the outstanding quietly grows past what the business can carry. A good distributor CRM is less about fancy dashboards and more about three plain questions: who ordered what, who owes how much, and who visited whom today.
How a distributor CRM fits the working day
Morning starts with the beat plan. Each sales rep has a fixed route of retailers or dealers for the day, and opens the app to see the list, last order, pending dues and any running scheme. At each shop they check stock, take the order, collect a cheque or UPI payment, and mark the visit with location.
Orders reach the office instantly instead of as a WhatsApp photo of a handwritten slip at 7 pm. The billing team checks stock and credit, raises the GST invoice in Tally, and the dispatcher plans vans for the next day. Payments and invoices sync back so everyone sees the same outstanding figure.
Larger dealers often prefer to place repeat orders themselves through a simple login, which frees your reps to work on new outlets.
Credit limits: the rule that saves the most money
Every dealer should have a credit limit and credit days set in the CRM. When a new order would cross either, it goes to the owner or accounts head for approval instead of being dispatched automatically. This one rule does more for cash flow than any report.
Without it, the usual pattern is predictable:
- The same few dealers carry most of the overdue amount, and nobody notices until month end.
- Reps keep booking orders for slow payers because their target counts orders, not collections.
- Scheme claims from the company and dealer discounts never get reconciled.
Reports owners look at
In our experience, owners check an ageing report daily (0 to 30, 31 to 60, above 60 days), orders and collections per rep against target, beat compliance showing planned versus actual visits, and product-wise sales by area. Pharma and electrical distributors also watch batch or brand-wise movement.
What to prepare before a demo
- Your dealer or retailer list with area, credit limit and credit days, even if rough.
- Your product and price list, including different rates for distributors, wholesalers and retailers.
- Which Tally version you use and who maintains it.
- Number of field reps and how beats are planned now.
Field teams use the mobile CRM app on Android or iPhone, and Tally, WhatsApp and Razorpay links are covered under CRM integrations. If you are a manufacturer selling through a dealer network, say so early so we design for both levels. Book a free demo and bring last month's outstanding report.
